From work order to crew.

  1. In the office app

    Create the work order

    Customer, site, dates, crew size.

  2. From the office app to the crew's phones

    Send the offer

Each worker gets a push and a deadline.

  3. On the crew's phone

    Accept or decline

Accepting asks how they travel; a decline gives a reason; answers are time-stamped.

  4. In the office app and on the crew's phones

    The crew is set

The roster fills in; one job chat for the crew.

Every company gets its own database.

And its own API container and web deployment. No shared database or API process.

Architecture document on request: security@polussystems.com

Where is it hosted?

In the United States. The database, sign-in and file storage run on Supabase in AWS us-east-1, and the API on Fly.io in Virginia. The office web app is a static bundle on Vercel's CDN and holds no customer data. Document reading runs on Microsoft Azure in East US.

Is it encrypted?

In transit, TLS on every connection, HTTPS only, with HSTS on the web app and the API. At rest, AES-256, managed by the hosting providers. On phones, the session token sits in the Android Keystore.

How do people sign in?

Email and password, with the address confirmed first. Passwords are at least 10 characters, checked against known breached passwords and stored only as hashes. SAML single sign-on with your identity provider is an option we set up with your system; multi-factor sign-in then comes from your identity provider.

Who can see what?

Roles (technician, supervisor, office, admin) are checked on the server on every request, never trusted from the device. Row-level security in the database blocks every direct write from a client, so all changes go through one API that enforces the rules.

What happens when someone leaves?

An admin deactivates the account. Every API request from it is refused at once and the app signs them out. Their job history stays for your records; permanent deletion is a separate step.

How are uploaded files protected?

Files sit in private storage and never get a public link. The API checks ownership, then issues a link to one file that expires in five minutes. For document reading, the image goes to Azure in East US for the expiry date, and we delete Azure's copy afterwards.

What does the phone app collect?

No location, no contacts, no photo library. It asks only for the camera and notifications. Job data is fetched when needed and held in memory, with no local database of records, and cached files are cleared at sign-out.

Which third parties are involved?

Supabase, Fly.io and Vercel for hosting; Google Firebase and Apple for push notifications; Resend for email; Mapbox for addresses and the map; Microsoft Azure for document reading; Cloudflare for DNS and bot checks at sign-in. Neither app carries analytics, advertising, crash-reporting or session-replay services.

How is it backed up?

Daily. Point-in-time recovery is available on request.
